Data Deletion Instructions
You can ask us to delete personal data we hold about you. Some records must be kept to meet legal or record-retention obligations.
Who can make a request
You may request deletion of your own personal data. If you are acting on behalf of another person, please include evidence that you are authorised to make the request.
What to include in your request
- Your full name and the organisation you represent, if any.
- The email address, phone number, or WhatsApp number associated with the data.
- A clear description of what you want deleted.
- Any reference numbers, dates, or conversation details that help us locate the data.
How to submit your request
Send your request by email to xion.kiliba1@gmail.com with the subject line "Data deletion request". Please do not include sensitive clinical or financial information in the initial email.
WhatsApp and Meta-related data
If you have interacted with Xion Group or Aegis through WhatsApp or other Meta platforms, WhatsApp processes your phone number, profile name, message content, and delivery metadata in order to deliver the conversation. Meta's own data practices and deletion tools apply to data held on WhatsApp servers.
To request deletion of data we hold after a WhatsApp conversation reaches us, write to xion.kiliba1@gmail.com using the same email address or phone number associated with the account. If you also want to delete data held directly by Meta, you can use the privacy and deletion tools available in your WhatsApp or Meta account settings.
What happens next
We confirm receipt, verify that the request comes from you or an authorised representative, and respond within the timeframe required by applicable law. If we cannot delete some data because of a legal, regulatory, or clinical retention obligation, we will explain why and tell you what we have kept.
Records we may need to retain
Even after a deletion request, we may be required to keep certain records to comply with law, protect our legal rights, maintain security, or meet clinical and care-related obligations. Where that applies, we will limit further use of the data to those purposes.
